Summary of Job Duties
(Note: This summary will be used for keyword search) Purchasing Coordinator
Responsible for all purchasing transactions and recharges for the Bren School. Maintains working knowledge of University policies and procedures. Acts as liaison between campus administrative offices (Purchasing, Business and Financial Services, Central Stores, Academic Departments) and Bren School faculty, staff and students in purchasing matters. Maintains accurate records of all purchasing transactions. Processes travel documents for the School and prepares monthly recharges. Acts as member of the Bren administrative team in reaching team goals relating to administration of the School.

Minimum Requirements
Demonstrated administrative experience. Ability to multi-task, work independently, prioritize work, and manage frequent interruptions. Demonstrated ability working with numbers/finances.
Strong interpersonal, organizational and communication skills. Ability to communicate effectively in multiple written formats, maintain a positive attitude, problem-solve and work effectively as a team member. Experience with MS Office Suite.

Desirable Requirements
UC experience, with knowledge of UC policy and procedure and operating systems including FlexCard and Gateway mainframes. Familiarity using GUS software platform. Ability to analyze complex issues, develop solutions and give professional advice. Appreciation for Bren School goals, priorities and values.

PURCHASING/EXPEDITING
Responsible for executing purchasing transactions for all Bren School accounts. Acts as liaison between campus administrative offices (Purchasing, Business and Financial Services, Central Stores, Academic Departments) and Bren faculty, researchers, staff, and students regarding purchasing matters. Processes all purchase orders including general requisitions utilizing the Gateway procurement system for purchase orders. Is cognizant of and advises Bren faculty, researchers, staff, and students on proper University and agency guidelines regarding purchasing and equipment matters. Screens each preliminary requisition for proper authorization and appropriateness of funding source. Notifies Financial Coordinator if Agency approval or forms required to complete purchase. Recommends purchasing sources and provides vendor cost and shipping differences.
