GENERAL STATEMENT OF DUTIES: This position works in conjunction with the President of the Board of Directors of INC and VP of Finance to provide the efficient and timely delivery of administrative services at the highest level for the Sansum Santa Barbara Medical Clinic, Inc. (INC) providers in accordance with the mission, vision, and values of the organization. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: (This list may not include all of the responsibilities assigned.)1. Provides administrative support requiring professional, confidential, diplomatic behavior reflective of the Providers and Executive staff the INC.2. Coordinates interview travel plans and scheduling in conjunction with Recruiter.3. Administers Provider onboarding, coordinating orientation scheduling, contract preparation and personnel file maintenance.4. Maintain all Provider documentation, evaluations, directories, licenses, and CME class coordination.5. Works closely with other providers, finance, and patients to arrange and coordinate benefits, leaves of absence, and changes of status.6. Assist and cross train on finance functions as needed.7. Carefully and thoughtfully manages the administration physician evaluation process.8. Frequently assigned planning and/or execution of special projects in support of the strategic plan and budget.9. Requires a high level of computer literacy, aptitude for learning, critical thinking and problem solving, business acumen, tact, judgment, impeccable customer service, and extensive organizational and time-management skills.10. Must be organized, self-directed, and capable of working with minimal supervision.11. Duties involve word processing and computer usage, project management, composition and proofing activity, preparing a variety of reports, agendas, statements, some accounting work, spreadsheets, presentations, charts, etc. of the highest caliber.12. Works as a team player supporting a variety of staff.13. Displays a caring and responsive attitude and conducts all activities respecting patient, family and employee rights and expectations.14. Demonstrates sound cost containment techniques.15. Adheres to established safety requirements and procedures to ensure a safe working environment.16. Adheres to all policies and procedures.17. Attends required meetings and participates in committees as requested.18. Adheres to HIPAA regulations.19. Exercises discretion and maintains high level of confidentiality.20. Performs related work as required. KNOWLEDGE, ABILITIES, AND SKILLS: Must have high skill level in writing, reporting skills, scheduling, organization, time management, and travel logistics. Microsoft Office proficiency (Word, Excel, PowerPoint required; Access desired). . Ability to communicate well with patients, families, co-workers, physicians, other members of the healthcare team, etc. Ability to adapt to varied, age-specific and/or specialized groups. Ability to understand use, function, interpret, document, and keep records. Ability to interpret, adapt and apply guidelines and procedures. Ability to react calmly and effectively in emergency situations. Ability to read, write and communicate effectively in English. Ability to organize and prioritize work. Ability to follow oral and written instructions. Ability to reason and make sound judgments. Skill in identifying problems and recommending solutions. Skill in establishing and maintaining effective working relationships with co-workers, management, patients, medical staff, and the public. Skill in accepting constructive criticism and giving suggestions in a professional manner. EDUCATION, EXPERIENCE AND LICENSUREHigh school diploma or equivalent required. College education preferred.At least one year of administrative experience in a healthcare organization.Computer proficiency required including knowledge of Microsoft Office programs.Bilingual and training in medical translation and terminology a plus.
