QUALIFICATIONS

  • Microsoft Office (Word, Excel, PowerPoint): 5 years (Preferred) DESCRIPTIONThe Executive Assistant will provide comprehensive executive administrative support to the President/CEO, Vice President/Clinical Director, and the Chief Administrator of Programs. The Executive Assistant ensures proactive, effective and efficient functioning of assigned tasks, full confidentiality in all aspects of assignment and responsibilities, maintenance of procedures, and follow-up on deadlines and commitments made. $25 - $28 an hour - Full-time ACCOUNTABILITYThe Executive Assistant reports to the President/CEO of SCSB ESSENTIAL DUTIES
    • Maintains and/or creates files or record keeping systems. Sorts, labels, files and retrieves documents, or other materials.
    • Maintain and order office supplies, list of keys to employees, mailing lists, departmental budgets for office supplies.
    • Maintain appointment schedules, manage for priorities, plan and schedule group meetings, teleconferences and travel.
    • Schedule meetings and conference calls with attendees. Set-up conference calls and monitor/take minutes for calls as
    • necessary.
    • Process contracts, statements of work, and other procurement activities as needed.
    • Organize physical meetings, including booking rooms, ordering catering, providing audio visual support, note-taking and
    • other support services as needed.
    • Manage schedules and deliverable items for meetings and events, including preparations of relevant materials by team
    • members for executive responsibilities.
    • Writes, types, and/ or drafts correspondence, reports, documents and/or other written materials.
    • Other tasks as assigned
    • Maintains calendars; schedules and coordinates appointments.
    • Receives calls and/or greets visitors, takes and relays messages, responds to requests for information; provides information
    • or directs caller/visitor to appropriate individual.
    • Interface with and support Board of Directors (tasks may include schedule meetings, record minutes of meetings, order
    • lunches, attend sub-committee meetings as necessary) KNOWLEDGE, SKILLS, AND ABILITIES
      • Administrative and clerical procedures and systems such as word processing systems, filing and records management
      • systems, transcription systems, forms design principles, and other office procedures and terminology.
      • Applicable laws, rules, regulations and/or policies and procedures
      • Agency and/or organizational program(s)
      • Principles, practices and procedures of an office environment
      • Grammar, spelling, and punctuation
      • Review and/or edit documents for accuracy and completeness
      • Enter, transcribe, record, store, or maintain information in either written or electronic form.
      • Communicate fluently in English
      • Expert in Microsoft Office programs, especially Word and Excel
      • Communicate information and ideas clearly, and concisely, in writing; read and understand information presented in
      • writing.
      • Establish, organize and/or maintain files
      • Arrange, coordinate, or schedule time and details
      • Deal with people in a manner which shows sensitivity, tact, and professionalism.
      • Assemble, sort, and/or distribute documents, supplies, and/or materials/items
      • Monitor or track information or data
      • Ability to enter, transcribe, record, store, or maintain information in either written or electronic form.
      • Communicate information and ideas clearly, and concisely, in writing; read and understand information presented in
      • writing.
      • Ability to establish, organize and/or maintain files QUALIFICATIONS
        • Minimum of Bachelor's Degree, advanced education preferred
        • Proficient with Microsoft Word, Powerpoint, Excel, Publisher, and Adobe Creative Suite
        • Excellent communication skills
        • Ability to work well independently and as part of a multifaceted team
        • MUST HAVE at least five years documented experience as an Executive Assistant MUST BE ABLE TO PASS CRIMINAL BACKGROUND CHECK, MUST HAVE A CAR AND VALID DRIVER'S LICENSESanctuary Centers of Santa Barbara is a non-profit organization that has been providing high quality care for adults with mental illness and co-occurring disorders since 1976.
