GENERAL SUMMARY:

The Project Coordinator ensures clients are kept informed, updated, and aware of project progress, and works with our team to ensure an excellent outcome. The ideal candidate will be responsible for attaining maximum utilization of technical resources by staffing projects with appropriate resources, monitoring project progress and identifying the need to shift resources across projects as needed to meet installation schedules.

Essential Duties and Responsibilities:

  • Act as the single point of contact to the customer for all types of project and deployment requests
  • Scheduling of all project and deployment resources to ensure maximum utilization of billable resources
  • Pre-process project/deployment requests through our software suite
  • Monitor resource schedules to ensure prompt time entry on client requests
  • Adjusting schedules depending on project load and client requests
  • Communication with customers as required: keeping them informed of incident progress, notifying them of impending changes or agreed outages
  • Ability to work in a team and communicate effectively
  • Provide regular and timely reporting of project progress to clients, project manager and interdepartmentally as needed

    Additional Duties and Responsibilities:
    • Improve customer service, perception, and satisfaction
    • Understand overall project objectives, as well as the role and function of each project team member
    • Ensure the project objectives and requirements are clear and agreed upon by all team members; identify what is in and out of scope
    • Effectively communicate acceptable project backlog levels and thresholds to project manager
    • Communicate with team members throughout projects for status updates in terms of scope changes, conflicts, and/or additional time needed
    • Drive problem investigation and resolution as required
    • Escalate requests that cannot be scheduled within agreed service levels
    • Document internal processes and procedures related to duties and responsibilities
    • Schedule initial meetings with project engineers and sales team to build out and schedule tasks
    • Create, update and maintain project templates
    • Perform shipping/receiving roles as assigned
    • Responsible for entering time and expenses in ConnectWise as it occurs
    • Understand processes in ConnectWise by completing assigned training materials and blueprints on the ConnectWise University
    • Enter all work as activities, service tickets or project tickets into ConnectWise

      • Basic computer and operating system knowledge
      • Interpersonal skills: such as telephony skills, communication skills, active listening and customer-care
      • Ability to multi-task and adapt to changes quickly
      • Technical awareness: ability to match resources to technical issues appropriately
      • Service awareness of all organization's key IT services for which support is being provided
      • Understanding of support tools, techniques, and how technology is used to provide IT services
      • Typing skills to ensure quick and accurate entry of service request details
      • Self-motivated with the ability to work in a fast moving environment
