Revenue Cycle Process Improvement Analyst Lead

Job Description:

Coordinates all Revenue Cycle system changes, including implementations and upgrades, with the Information Technology department. Responsible for day-to-day aged trial balance trending, WQ's, and Revenue Cycle Workflows, response to claims audits from internal and external sources, regulatory change implementation, and user support and training of various Revenue Cycle applications. Coordinates training and education for the Revenue Cycle team for new hires, workflow efficiencies, and findings from analyzing account inventory. Prepares, organizes, and provides standard training, specialized training, and technical training for revenue cycle teams. Serves as a liaison between Revenue Cycle operations and IT, to assist in facilitating appropriate IT build to support the Revenue Cycle. This position reports to the Vice President, Revenue Cycle.


Reviews the operating policies and procedures as well as actual workflow of systems and functionality of work queues from an operational perspective, in collaboration with Revenue Cycle leadership. Identifies inefficiencies in the existing processes, designs new processes, and drafts policies, procedures, and workflow. Assists users to improve performance through the efficient use of applications and Epic build. Coordinates the process for review of all system requests and issues, identifying those that can be resolved internally and managing the resolution of requests or issues that must be sent to Information Systems. Establishes regular meetings with Information Systems to ensure the timely completion of all outstanding requests and prioritization of those requests. Supports the Information Systems team by providing operational clarification regarding requests. P

Develops and maintains training manuals and reference materials for all roles within Revenue Cycle. Augments vendor user guides to customize Cottage Health system workflows and processes. Consults subject matter experts for specific knowledge to then develop training guides and educate the teams. Distributes course materials and teaching aids as required. Prepares pre-and post-training documentation, such as notes, questionnaires, and other support materials. Performs a structured annual process to develop a strategic training program for the upcoming year as well as builds flexibility for ad hoc training needs. Identifies external resources and subject matter experts to assist with specific training as needed. Provides hands-on training to staff in all Revenue Cycle areas.

Coordinates system implementations, upgrades, modifications, and the daily operations of all applications utilized by areas within the revenue cycle from an operational perspective. Conducts routine reviews of the aged trial balance to highlight areas of opportunity where claims are aging or not progressing. Leads meeting with Revenue Cycle leadership to resolve all edits on aging claims, workflows, and accounts not progressing through the claim cycle. Partners with the direction of the Directors of Patient Financial Services, Revenue Integrity, Patient Access, and HIM and collaborates with the Information Services Department (ISD) to ensure systems are appropriately supported and maintained.

Disseminates information to Revenue Cycle staff and other affected departments related to implementations, upgrades, system outages, and downtimes. Assists Revenue Cycle Leadership in long-range planning. Conducts research on new applications and technology to determine the potential benefit to Cottage Health. Coordinates with Revenue Cycle Management, IT, and other departments as necessary to ensure downtime procedures are developed and communicated to all users. Percentage of time: 10% Sends training notifications to participants, informing them about training demands and other important aspects. Prepares appropriate forms, correspondence, memoranda, and records regarding course attendance, feedback on programs, instructors, etc. Prepares and distributes training certificates for participants or attendees when appropriate. Maintains and may reorder training material, teaching aids, and information on outside programs.


A Baccalaureate degree from an accredited college or university or 8 years of applicable and progressively responsible work experience Preferred: A degree in computer science, business, or related field and/or a Master's degree in Business or Health Administration

Epic Certification(s) Preferred: CCS, RHIT, RHIA, HFMA CSBI, HFMA CRCR

Working knowledge of IT solutions and interfaces, operating platforms, and network software. Proficient in the use of Microsoft tools. Demonstrated understanding of clinical workflows and terminology specific to the appropriate revenue cycle department. Strong project management capabilities in a software applications environment and/or healthcare. Strong understanding of Revenue Cycle operations. Preferred: Demonstrable technical skills in report writing tools such as SQL, Access, Crystal. Knowledge of software building and maintenance change control processes, interface, and file exchange technology. Experience working with HIPPA policy and procedures. Knowledge of medical terminology, a comparable amount of training and experience that provides skills to perform the job tasks competently. Experience with ANSI codes and 835/837 files.

5 years of experience in similar revenue cycle system support and 2 years operational experience in patient access, HIM, billing, and/or claims.
