Your primary responsibility will be to handle front office reception duties, receive and direct visitors to our Santa Barbara office, maintain visitor logs and issue badges, answers and direct phone calls, respond to company inquires, and sort and distribute mail. In addition, you will have the opportunity to support and be involved in our recruiting and employee recognition activities and event planning.--ESSENTIAL JOB FUNCTIONS:

  • Professionally administer all calls (Santa Barbara/Tucson/San Jose) according to the needs of the external/internal caller and leave the caller with a positive impression of Bruker Nano Surfaces (BNS).
  • Greet guests in a professional manner to ensure a good first impression of BNS. Respond to customer/employee inquiries for information, directions or guidance with an appropriate solution to their request.
  • Clear visitors per the Export Compliance Guidelines using the MK Denial website.
  • Maintain visitor registration log.
  • Issue the appropriate badges to employees and visitors by adhering to the BNS Export Compliance Policy. Includes the creation and editing of badges providing access to all BNS Buildings- SBO, TSOM -both locations, Probes.
  • Sort and distribute incoming mail in a timely manner. Apply correct postage to outgoing domestic and international mail.
  • Distribute all electronic incoming faxes to appropriate recipients in a timely manner.
  • Assist with coordination of company functions and employee morale events.
  • Support the recruiting team with candidate scheduling and communication.
  • Update Receptionist Manual to keep all processes accurately documented.
  • Order office supplies for BNS locations and remote employees
  • Maintain Office Supplies Inventory and prepare budget reports.
  • Order break room supplies and manage inventory levels and put away supplies upon delivery in SBO.
  • Assist with ad hoc clerical duties such as photocopying, faxing, filing, and collating to ensure that administrative departmental needs are met.----ADDITIONAL RESPONSIBILITIES:Performs other duties as assignedPHYSICAL/ENVIRONMENTAL REQUIREMENTS:--Normal auditory and visual abilities. Able to lift up to 25 lbs.--ESSENTIAL POSITION REQUIREMENTS:--EDUCATION: High School Diploma or General Education Degree (GED)EXPERIENCE: Minimum of 2 years of experience in a Receptionist, Administrative Assistant or Clerical role.--KNOWLEDGE, SKILLS AND ABILITIES: Ability to work independently on assignments. Detail oriented in an environment prone to distractions. Possesses strong organizational skills, excellent verbal and written communication skills and the ability to multi-task. Must have a positive, ---can do--- attitude and be a team player.--Ability to keep information confidential. This role may at times have access to employee confidential information.--Must be punctual. Strict work hours must be maintained.
