Rosewood Miramar Beach is looking for an Administrative Assistant to support the Executive Chef and Culinary Team!


To provide full administrative support to the Executive Chef, Executive Sous Chefs, Resort Chef, and Chef De Cuisines, and all culinary teams ensuring the upkeep and smooth running of the outlets. Working closely with the purchasing team and being involved in the company's procurement activities for all food products, ensuring prime and seasonal produce is delivered consistently. Work in unison with the 5 different outlets to ascertain needs as well as control costs accordingly. To assist with incoming inquiries where possible and to perform any other reasonable task as requested by management.

Essential Responsibilities


-Maintain the kitchen offices ensuring par stock levels of tools and resources
-Work with all outlet Chefs to ensure holidays, absence, and schedules are entered and managed accordingly on ADP
-Fulfill the daily minute meeting and follow up on action plans
-Control the daily missed punches in ADP
-Manage Culinary side of Birchstreet purchasing program
-Monthly administration of the hotel's recognition programs including Rave Review and Brand Ambassador
-Ensure all chefs are scheduled for and complete mandatory training including Rosewood Core programs and Health and Safety core requirements
-Assist with the writing up of menus and recipes to company standard, Manage the Recipes under EC direction
-Work with the Executive Sous Chefs to maintain up to date health and safety documents including risk assessments
-Inform Sales and Marketing of menu changes for the website
-Assist all outlet chefs to conduct and document monthly stock take
-Maintain up-to-date menu items in InfoGenesis
-Provide menus layout for all outlet


-Maintain the kitchen offices ensuring par stock levels of tools and resources Manage the kitchen department's purchase order logs
-Assist with the preparation of the monthly P&L critique
-Place orders via procurement system ensuring the correct process are followed prior to committing to a purchase
-Complete the monthly menu engineering form by outlet

Cross Department Support

-Record details of the weekly walkthrough with engineering and back of the house and follow up on action required
-Work with Talent and Culture Manager on monthly events and support with the creation of new menus and labels for ADR
-Work closely with the Purchasing to ensure close links are built with suppliers and inform Chefs of availability, provenance & special offers
-Assist Purchasing team with the sourcing of new equipment for the kitchens
-Prepare REO (Restaurant Event Order) in liaison with Catering and Sales


-Maintain a professional and courteous manner whilst at work.
-Be known for being honest, reliable, confidential, and trustworthy.
-Ensure guest and employee privacy and security by respecting confidential information
-Carry out any reasonable requests made by the manager and other members of the management team in a timely manner.
-Be proactive, ask questions, and be responsible for the action or lack of action.
-Attend and complete the resort's organized training sessions and programs as and when required.
-Attend and participate in the hotel and departmental meetings and briefings.
-As the hotel's level of business varies considerably, there is a need for flexibility in attitude, approach, and working hours.
-Spanish speakers preferred
