Job Summary: * Daily front desk operations include proactively handling phone lines, visitor arrivals, and dynamic administrative tasks in support of the organization. Primary Duties and Responsibilities: * Welcomes visitors by greeting them, following security procedures, answering multi-line phones, and transferring calls to appropriate people/departments. * The Administrative Support maintains security by following procedures: * Monitoring logbook, issuing visitor badges, completing month-end front desk reports, and staying up-to-date on new policies. * Maintains a safe and clean reception area by complying with procedures, rules, and regulations. * Maintains and updates the front desk process manual. * Maintains the GTC Visitor Management Requirements. * Receives, sorts and distributes all incoming mail. * Processes all outgoing mail. * Maintains postage meter. * Maintains standardized signage throughout the factory by design as requested. * Other administrative duties as they come up and are assigned. Job Qualifications: * Multi-line switchboard experience * Demonstrate excellent verbal and written communication skills * Professional attitude and appearance * Excellent customer service skills, both internally and externally * Attention to Detail * Proficient in MS Office * Ability to be resourceful and proactive when issues arise, problem-solving skills * Multitasking and time management skills, with the ability to prioritize tasks * Minimum of two years experience as a front office receptionist, including the use of a multi-line phone system required * High School Diploma * Some colleges would be helpful * Must be a US Citizen or permanent resident * OCR and SAP experience would be a plus * CANVA experience would be a plus * California Notary Public Certification would be a plus Working Conditions: * Be able to lift 25 lbs Core Competencies: * Strong communication skills * Attention to detail to ensure that assignments are completed accurately * Strong organization and planning skills are required, coupled with the ability to be flexible while performing multiple duties that require workload prioritization due to special assignments and new tasks or projects being assigned * Strong computer skills including knowledge of MS Word, Excel, MS Outlook desired * Must have good coping skills in order to stay focused, calm and cool while juggling multiple demands and deadlines, including heavy phone traffic and customer interface * Ability to work proactively and strategically, anticipating needs and offering assistance to improve productivity
